This Fair Processing and Privacy Notice describes the categories of personal data that Fares4Free holds and processes and for what purposes. We are committed to collecting and using any personal data fairly and in accordance with the requirements of the General Data Protection Regulations (GDPR).

Fares4Free is a Scottish Charitable Incorporated Organisation (SCIO) (Registration Number SCO46606) that is registered with the Office of the Scottish Charity Regulator (OSCR). How we gather personal information

We are sent a small amount of personal information when our passengers are referred to us by veterans’ support agencies and charities.

What information do we hold and process?

We hold the following information on any passengers that use our service:

  • Name
  • Age group
  • Referring body
  • Service and service number
  • First section of post code
  • Date, destination and brief reason for journey

How we use the information

We only use your information to ensure we can legitimately deliver our service to you at the right address, for the right reason, at the right date and time. We also use the information to demonstrate to our funding bodies that we are providing a measurable benefit to the veterans’ community in line with any funding agreement. We may also summarise the information for potential funding bodies when we bid for grants. We will not use your data for any marketing purpose.

Fares4Free will process your data (i.e. collect, store and use) according to the requirements of the GDPR at all times and shall endeavour to keep your personal data up-to-date, ensuring its accuracy and will not keep it for longer than it is required. In some situations, there are set legal requirements for the length of time that Fares4Free will retain personal data but usually Fares4Free will keep personal data for no more than 2 years from the date you last use our services.

We shall never be intrusive or invasive of your personal privacy and shall not ask you to provide data that is irrelevant or unnecessary and we will enact strict measures and processes to ensure that the risk of unauthorised access or disclosure of your personal data is minimised as much as possible.

Consent and your rights

We don’t ask for the consent of our passengers to use your personal data as we need that to deliver our service. We do ask for the consent of website users who complete our contact form. You have the right to object to how we process your personal information. You also have the right to access, correct, delete and restrict the personal information we use. In addition, you have a right to complain to us and to the data protection regulator. Website Visitors

Like most website operators, Fares4Free collects non-personally-identifying information of the sort that web browsers and servers typically make available, such as the browser type, language preference, referring site, and the date and time of each visitor request. This helps us better understand how visitors use our website.

Fares4Free also collects potentially personally-identifying information like Internet Protocol (IP) addresses for logged in users and for users leaving comments on www.fares4free.org blogs/sites. Fares4Free only discloses logged in user and commenter IP addresses under the same circumstances that it uses and discloses personally-identifying information as described below, except that commenter IP addresses and email addresses are visible and disclosed to the administrators of the blog/site where the comment was left.

Certain visitors to Fares4ree websites choose to interact with Fares 4 Free in ways that require Fares4Free to gather personally-identifying information. The amount and type of information that Fares4Free gathers depends on the nature of the interaction. For example, we ask visitors who sign up at www.fares4free.org to provide a username and email address.
